St. Gregory's University Technology Policies. Email Accounts St. Gregory's University provides students, faculty and staff with an email account to pursue legitimate academic activity, as well as for personal and professional correspondence. The use of the email system for private business related activity is prohibited. Those who use the campus email system for private business related activities may have their email and/or network privileges revoked. SGU reserves the right at any time to block an account, email transmissions, block or delete email attachments. Email accounts remain active for a period of sixty (60) days after a person graduates from or leaves the university. Mailbox Storage Space. St. Gregory's University provides students, faculty and staff with email storage space on the campus mail server. However, resources on the server may be limited and therefore need to be controlled and monitored. All users are encouraged to clean out their mailboxes once a month to preserve space in their mailbox. St. Gregory's University sets limits on the amount of space given to any user. Items in mailboxes include, INBOX/OUTBOX items, sent items, deleted items, calendar entries, contact entries, notes and any other type of folder or file capable of being saved into a an SGU Mailbox. Administrators may send automatic or personal warnings and/or discontinue access and/or remove content from any mailbox exceeding the limit. Failure to comply with any request made by SGU officials may result in termination of a SGU user account or mail account. SGU reserves the right to remove a student's email account if the account remains full and unused for a period of more than sixty (90) days. Mass E-Mailings Members of the St. Gregory's University community may utilize the campus email system to send messages to whomever they wish. However, to help ensure the proper operation and maintenance of the email system, community members are asked to send messages only to interested parties and not proliferate the spread of unwanted or unnecessary email. Everyone is encouraged to use the "Distribution List" feature of Microsoft Outlook for the purpose of group mailings. Students are allowed to use the email system for mass e-mailings ONLY if the message is pertinent to SGU campus activities and organizations. Forwarding of "Junk Mail" may result in the loss of campus email privileges. "Junk Mail" is classified as, but not limited to: unsolicited advertising of non-campus products or events, political advertising, chain letters, hate-mail, morally objectionable materials, jokes, virus, Trojan horses, defamatory materials, and all illegal materials. St. Gregory's University reserves the right to delete incoming and/or outgoing junk email and to use blacklists for the purpose of controlling spam on and off the campus. Email may be blocked from certain systems that were reported to have sent junk mail. (SPAM) For more information regarding this blocking, please contact the SGU Help Desk. St. Gregory's University encourages online discussions, however, the email system is not the suggested venue for such correspondence. St. Gregory's University maintains a web-based discussion forum for most all types of discussions. Please visit the university intranet site to post messages. St. Gregory's University always reserves the right to remove services, deny access, or delete user's email accounts and/or network accounts if such action is deemed warranted by University officials. Email Etiquette Users are encouraged to use good Net-Etiquette when sending emails to anyone. The Use of Emoticons/Smileys is suggested to show emotion in messages. St. Gregory's University provides students, faculty and staff with a network account to pursue legitimate academic activity, as well as for personal and professional correspondence. Prohibition of Commercial Use. The use of the SGU network system or computers for private business related activity is prohibited. Those who use the campus network system for private business related activities may have their email and/or network privileges revoked. Antivirus software with current subscription required. All students will be required to have a current version of Norton Antivirus with a 1 year paid subscription before they will have access to the campus network. This ensures the safety and security of our campus network. For more information on how to obtain a new subscription, please contact the SGU Help Desk. Proper Identification of Network Equipment. All SGU users will properly identify themselves on all network attached equipment. This identification will helps to insure that problems with our networking system are resolved quickly. ALL USERS MUST PROPERLY IDENTIFY EQUIPMENT WITH AT LEAST THEIR USER NAME AND WILL NOT KNOWINGLY CONCEAL THEIR IDENTITY ON THE CAMPUS SYSTEM . This policy includes, but it not limited to, laptops, PDAs, and other handheld networking devices. If you have questions on how to properly identify equipment, please contact the Help Desk. Hosting Servers. Students are encouraged to utilize the SGU network for sharing of files with other users on the SGU network. However, the use of the campus network for hosting game servers, web servers, file servers, or chat servers is prohibited without specific written permission from the SGU administration and M.I.S. director. Servers included, but not limited to are: Web Servers, FTP servers, Mail Servers, Chat Servers, File-sharing servers, SAMBA, and or the use of MAC/OS, Windows, or other operating systems to be used as servers. Students are encouraged to use the student web server for hosting their web sites. The use of the student web server is outlined in the Student Web Page Policy.
Chat Servers – Are not permitted.
File Sharing Students are encouraged to share files from their computers on the campus network. However, the use of file-sharing programs similar to, but not limited to: Kazaa, Napster, Audiogalaxy, Gnutella, Imesh, Bearshare, Limewire, and Morpheus may violate copyright law. Students are bound by the code of conduct set forth in the university student handbook. Students using such software will indemnify and hold harmless St. Gregory's University, St. Gregory's University Internet carriers, university employees and university affiliates. St. Gregory's University reserves the right to deny access to such services and or cancel users rights to access the Internet should a student be found violating copyright law. Transmission over the Network. The transmission of morally objectionable material, "Junk Mail" as outlined in the Email policy, viruses, Trojan horses, defamatory materials, copyrighted materials, and all illegal materials is expressly prohibited. Anyone who causes harm, disruption, or in any way circumvents security to the SGU network, systems, servers, software, data, or personal computers, either with or without intent may be subject to disciplinary action and/or local, state and federal prosecution. St. Gregory's University always reserves the right to remove services, deny access, or delete user's email accounts and/or network accounts if such action is deemed warranted by University officials. Wireless Network Devices: The use of wireless network devices such as routers, switches, hubs, wireless network cards, PDAs, and other types of wireless communication are prohibited unless they are approved by St. Gregory's University administration and technical staff. This helps insure security to the SGU network and network resources. This also helps to insure that devices not interfere with the normal operations of SGU radio frequencies and local and state radio communications. For help in setting up your laptop wireless card, please come by the help desk and we will set it up for you. Disclaimer about network and email services and distribution of personal information: St. Gregory's University cannot protect individuals against the existence or receipt of text or images that may be offensive to them. As such, those who make use of electronic communications are warned that they may be recipients of material they find offensive. Those who make information about themselves available on the Internet (through e-mail or some other means) should be forewarned that the St. Gregory's University cannot protect them from invasions of privacy and other possible dangers that could result from the individual's distribution of personal information. SGU provides computer resources in its buildings, however, this should not be interpreted as the University sanctioning the materials developed or propagated by the individuals using those resources. SGU students and personnel send personal information to third-party organizations at their own risk. Security Policy Logging on and off campus systems. Each user is required to have a user name and password. Sharing of user names is prohibited. Passwords must contain at least 8 characters, with at least one capital letter and one number or symbol. Each person is required to log-off the campus network at the end of the day. This insures that unauthorized users remain off the system and away from resources that they are not authorized to use. If you leave your office for lunch, please log off or lock your computer. For instructions on how to lock your computer, please contact the help desk.
Network Printing Policy for Students Students are encouraged to make use of the campus networked printers. Students may install drivers for their printers using the Network Printer Installation Document provided by the SGU Help Desk. Locations of the printers are shown on the Printer Location document provided by the Help Desk. For the school year beginning Fall 2003, students are permitted to print 500 pages per semester. After a student has reached that limit, the student may purchase an additional sheets at $5.00 per 100 sheets. Printing counters are reset each semester. Printing of materials. Students may send items to the SGU networked printers. However, the printing of illegal materials and objectionable materials is expressly prohibited. Help Desk currently supports the following Microsoft Software:
Support for any other application or operating system by the SGU help desk may result in a technical service charge. Operating system support: St. Gregory’s University supports the
following Windows operating systems on the SGU campus only: Students are advised that they will need to upgrade their laptops in
order to accommodate the operating system change. Most systems that were
registered at the help desk in the past 2 years should be able to use these operating
systems. Charges:
Unclaimed Equipment at the Help Desk. Equipment left at the help desk unclaimed after 60 days may be sold. Please pick up your equipment after you have been notified that it is ready. Users may check periodically with the help desk staff via phone or in person to check the status of work. Lost or Stolen Equipment: The SGU Help Desk and SGU are not responsible for lost or stolen equipment. Back Up Your Data. Customers should back up customer software and data prior to receiving support. The SGU help desk takes care to avoid data loss, but sometimes it still can occur. Customers should always keep a back up of their data and in some cases two backup copies to avoid data loss. The SGU Help Desk is not responsible for incidental damages resulting from the support provided to customer equipment including but not limited to: hardware or software failure, data loss, or loss of income, lower grades, etc. Registration
period. All full-time students are required to obtain a laptop for use while they are a student at SGU. The laptop specifications and requirements are posted on the SGU website and are available at the Help Desk. Part-time students and returning graduates are exempt from this requirement. Part-time and returning graduates may be charged a technology fee for using the campus network facilities, labs, email, etc. All students are charged a technology fee, however the fee may be reduced if you register a laptop that meets specifications and requirements. Please see the SGU Business Office or Help Desk for details. Once a student has registered their laptop, they may receive a discount on their technology fee. Only students who meet or exceed SGU's requirements and specifications are eligible to receive a discount. Students must register their laptop with the SGU Help Desk within thirty (30) days after the beginning of the semester. Shared-registration between two students is not allowed. Visit the SGU Help Desk for instructions concerning registration. Currently, registration of a laptop is for a period of two (2) years. Once you register, you will only have to re-register after the end of the registration period. For example, if you register your first year as a freshman and your registration period is for two years, you do not have to register your second year as a sophomore. When you come back as a junior on your third year you become a "Returning student" (see below) for which you will need to re-register. Returning students: All returning students who are not covered under the two-year registration must register a laptop, whether it meets the current year specifications or not. Students not registering a laptop will be charged the full technology fee. Returning participating laptop students have the following service options from the Help Desk. The student must indicate which option he or she has chosen at the time of registration. These options are only available to students who were previously registered for two years with the SGU Help Desk. New or existing students who register a laptop for the first time must meet specifications and requirements of the current school year. 1. A student may choose a “pay as you go” option and pay for Help Desk services only as needed at the current Help Desk hourly rate for SGU approved and installed software* and SGU campus network support. Currently, the Help Desk hourly software and campus network support rate is $55.00 per hour. This option is for in-house service and not on-site. Check with the Help Desk for on-site service rates. Hardware support is additional to this rate and does not include parts costs, shipping, and other costs that are incurred with regard to any repair. 2. A student may choose to purchase a service contract at the current Help Desk yearly service rate. (See Help Desk for current price of this contract) This contract is for SGU approved and installed software* and SGU campus network support. This option is for in-house service and not on-site. Check with the Help Desk for on-site service rates. Hardware support is not included with this service option and is additional at the hourly rate. 3. A student may choose to purchase a new computer or upgrade their existing computer so that it will meet the current school year’s specifications. These computers could then be registered or re-registered with the Help Desk and the student will receive free software support and network support for another two years. Hardware support is not included with this option and is additional at the hourly rate. All service provided with each option is during normal Help Desk operating hours.
