08/2006.  Registrar will live with the change.  The combined Transcript will show all LAST Comment records at the end.  This thread illustrates the problem and the fix.

What does not work about it?

It appears to me working as intended. 

Ok, the Undergrad transcript works fine, and the Alternate (Grad) transcript works fine, using the .altrn=U and .altrn=A flags on the COMMENT records.

The COMBINED Transcript does not work fine.  Studentid 314742660

We prefer the combined transcript to either of the others, when we’re creating the transcript inhouse (not CampusConnect) because we know we’re seeing everything.

Fixed. (it was a problem with the new translation file and how the program was opening files)

Added the field to COMMENT.  Put the field on the COMENT screen.  Opened 314742660LAST1 and tried to enter “U” in .altrn.  Got this error msg:

The name our program uses is .ALTRN in the COMMENT file. Add that field will cause it to start working.

The field .type is not in COMMENT.  Shall I add it?  Will COMENT program recognize it?

And the U and A should work.

The REG manual refers to the sequencing of the LAST comment(s).  Does LAST2 immed follow LAST1, without any intervening term/course/comment?  We need a way to display “bach degree awarded” (which we’ve been coding with LAST) followed by their graduate work.  Then, when they are awarded Master’s degree, we need to display another “last” comment to show “masters degree awarded.” (this is if we use Combined Transcript)

• The third key format is used to place comments or transfer courses at

the end of the student’s transcript (even though additional details,

comments, or transfer information may be added to the student’s

records later). The final character in the key is a number (1 through 9)

which determines the sequence of the last items. Each student may

have up to nine comment records (36 comment lines) of this type.

And, there’s this in the manual, too.  Can we utilize .type in the Coment program?  Can we flag the LAST comments for Undergrad with “U” and the LAST comments for graduate with “A?”  The .type field doesn’t appear on the screen we see when using the Coment program.  The thread with Joanne on this issue follows; perhaps it will enlighten.  flp

Transcript Type (U/A/ )

This field defines the type of transript to be printed. For undergraduate

transcript only, enter U. For alternate transcript, enter A. To print

undergraduate and alternate transcripts, enter a space.

Using LAST means it will always be the last thing on the transcript.  When you put the “T” it does follow the semester – but if you have 2 things to put after the semester – it can’t be done. 

Have you experimented with using either of these?

1.        LAST2 to describe what it should say following the Graduate credits? 

2.        5002T to describe what it should say following the 5002 term?

Either of these would seem to follow the logic in the Reference manual.  Try them on Budka and let me know if they work.

Nothing that I found – and since Commentcode is (was) new – I don’t think it’s in the manuel.

Can we say that we have looked in the manual and see no instructions for this?

In relation to where the posting of degree is on the transcript… and …since you’re working with the ESP on the Commentcode file…….can you find out if there is a way to add a line or a different way to add before or after a semester or add 2 things before or after a semester.

Example:  If a student receives credit for training – I put 062SB (meaning before the fall semester) – and then if they receive DSST credit – I put 062ST (meaning after the fall semester).  How do I add they received their degree?  Usually I put LAST1 – but you can see where it puts it – and then it always remains the last item.

Budka I can change – but there is another that fits the problem above.

I modified the sis_config.com to allow the choice of undergrad or graduate transcript.  The graduate transcript for Budka looks like this.  You may want to adjust COMMENT so that it lists the Bachelor degree before the beginning of the Master’s work.  Flp
